The Holiday Readiness Checklist for Your PMU Studio

Shipping delays do not care how full your calendar is.

Sometime in your busiest week, the shade you use for half your clients will run out, the replacement will be on a truck in another state, and your schedule will get very creative. An October to-do list costs a lot less than a November scramble.

Order early

Retail analysts noted last year that a big reason shoppers moved their holiday buying earlier was worry about sold-out items and shipping delays, and your suppliers deal with the same holiday crunch. Take inventory this week: pigments, needle cartridges, numbing products, gloves, barrier film, sanitation supplies, and aftercare products. Order enough to cover the rest of the year plus the first weeks of January, since sale bookings often spill into the new year.

Check your pigments with fresh eyes

The FDA reports that even unopened, sealed tattoo inks can carry bacteria and other microorganisms, and it has issued safety alerts that name specific ink products by lot number and best-before date. While you are counting inventory, check the lot number and expiration date on everything in your kit, compare them against the FDA’s current safety alerts, and record the lot number in each client’s file. It takes a few minutes and protects your clients and your reputation.

Build your aftercare kits ahead of time

Pick a slow afternoon, put on a podcast (there happens to be a good one for PMU artists), and assemble your aftercare kits in bulk. Sale season goes a lot smoother when the kit is already sitting in the bag.

Prewrite your messages

Draft your confirmation, reminder, aftercare follow-up, policy message, and sale terms now and save them as templates. Update your booking page with your policies and holiday hours, and announce those hours early so nobody is messaging you on December 24th asking if you are free.

Protect the calendar, including your own

Block your rest days and personal time before clients fill them, and set a daily client cap with enough buffer between appointments for setup, sanitation, and a breather. Fatigue can affect focus, and PMU is detail work. A schedule with room in it also makes a sale easier to run, because a promotion never turns into an overbooked week.

Line up a backup plan

Keep a backup machine or power supply within reach, along with extra cartridges. Decide what you will do if you get sick, including a message to clients and a colleague you trust for referrals. A five-minute plan now beats an improvised one at 7 a.m.

Refresh your portfolio and your paperwork

Holiday traffic sends people to your page, so post recent healed photos before it arrives. While you are at it, check the renewal dates on your license, insurance, and certifications for the next few months, since year-end deadlines sneak up quickly. Booth renters should also confirm the studio’s holiday schedule, closures, and access hours.

Picture a Tuesday in mid-December. Your supplies arrived weeks ago, your aftercare kits are stacked and ready, your policy answers the texts before you do, and your calendar has a lunch break on it. The version of you living that Tuesday is being built right now, one checklist item at a time, so pick the one you have been putting off and do it before Friday. Our vote is the lot number check.
